Ministry doesn't pause when we do.
A few weeks ago, I found myself in a situation I never expected—being admitted to the hospital for 7 days. Seven days might not sound like much to some, but in ministry… it can feel like a lifetime. Events are still happening. Sundays still come. Kids still show up. Parents still have questions. Volunteers still need direction. And yet—I was out of commission, completely unable to do anything but rest and recover.
Here’s the thing: I’m used to being the one who makes sure the chaos stays organized. But in that moment, I couldn’t. My hands were literally off the wheel—and honestly, that was hard.
But you know what? Ministry didn’t fall apart. There weren’t fires everywhere. The team stepped up. The mission kept moving forward. Why?
Because I wasn’t doing it alone.
If you’ve been in ministry for more than five minutes, you know how quickly things can change. Whether it’s an unexpected illness, a family emergency, or just a season where you need to step back, interruptions will come. The key is being prepared before they do.
Here’s what I’ve learned (and am still learning) about how to lead your team well—even when life throws you off course.
1. Train Your Team Before the Storm
You can’t wait until everything’s falling apart to start equipping people. You need to prepare now, while things are running smoothly.
Walk your team through what a typical Sunday looks like—and what to do when it’s anything but typical. Make sure they know how to troubleshoot common problems, where to find curriculum, how to reset the check-in station, and how to respond when a new family walks through the door.
Don’t hoard knowledge—share it. Your goal isn’t to be the only one who knows how to do everything; your goal is to build a team that doesn’t need you to do everything.
Pro tip: Create a shared folder (Google Drive, Dropbox, or a ministry planning app) with everything they might need: lesson plans, team rosters, policies, contact info, emergency procedures—keep it clear and easy to access.
2. Have a ‘Who Does What’ Plan
When you’re unexpectedly out, your team shouldn’t be scrambling to figure out who’s doing what. Ministry is too important to run on guesswork.
Before anything happens, make sure these roles are clearly defined:
● Who communicates with volunteers if the plan changes?
● Who checks the supply cabinets and preps materials?
● Who makes sure check-in is ready to go?
● Who greets and welcomes new families?
● Who can give final approval if something shifts at the last minute?
If you haven’t created a simple emergency “chain of command”—it’s time. And it’s not just for worst-case scenarios. It also helps during vacation, busy seasons, or when you just need to unplug for a few days.
3. Don’t Just Delegate—Develop
Delegating is good. Developing is better.
Delegation is about assigning tasks. Development is about equipping leaders.
The best way to prepare your team isn’t just giving them to-do lists—it’s investing in them as leaders. Let them help with planning. Let them problem-solve. Let them take ownership. Let them fail and learn.
When I was in the hospital, I didn’t feel panicked or anxious. Why? Because I had developed a team of people I trusted. I knew they weren’t just filling a spot—they were leading. And they did it beautifully.
That kind of trust and leadership only comes from consistent investment and relationship over time.
4. Communicate, Even When You Can’t Be There
I didn’t have the ability to run the show while I was in a hospital bed—but I did what I could. A couple of quick texts to my core team made a big difference. I told them what was going on, what I needed from them, and thanked them for stepping up.
You don’t need to manage every detail. But a short note like, “Hey, I’m out this week. I trust you. I believe in you. Let me know if anything major comes up,” can go a long way.
It reminds your team they’re seen, appreciated, and capable—even when you’re not physically present.
5. Trust God With Your Absence
This one hit me the hardest. I’ll admit—letting go is not my strong suit. I like to have a hand in everything. But this situation forced me to release control, and it reminded me of a hard truth:
God’s church doesn’t depend on me. It never did.
Sometimes, being sidelined is exactly what we need to see that ministry isn’t ours to carry alone. When we step back, it makes space for others to step up. And sometimes, our absence is the very thing God uses to activate someone else’s calling.
That’s humbling—and beautiful.
So… What Do You Do When Life Interrupts?
If you’re in ministry, let me gently remind you: you are not invincible. Life happens. Emergencies arise. Unexpected things will come. But with a healthy team, clear communication, and a heart that trusts God more than your own ability, you’ll be okay.
More than okay—you’ll grow. And your ministry will, too.
So, train them. Develop them. Trust them.
And when life throws a curveball, you’ll be ready—even from a hospital bed.
